General Business:

  • Next Meeting 24/1/07. Anita pre-appologises.
  • proposed Krae Glas events - organisers haven't got to solid proposal (dates, costs etc) stage yet
  • Yarra Valley Medieval Festival Demo happening in January. Multigroup presence. People encouraged to contact Villana if Interested. Expect 3-5000/day through the gate with recent publicity. A similar demo in melbourne (showgrounds?) next year.  One in Benalla/Wangaratta region later?
  • Festival 2008 location - still no news. 5 possible locations, including far North. Picton/Wilton area or Crossroads likely to be
    forerunners.
  • Library Displays - (Tiffany) we can have a display case for one month in each monash Library.  How much stuff can people supply for how long?  Response: We can make stuff specially to fill cases, so that long term displays (eg 8 months) not a problem. Provide deadline for stuff.
  • half joking Idea from Jamie - sca bookmarks in relevant library books - good idea, but probably get in trouble for that.

Festival Planning:

  • Attending + camping Krae Glas: Liam & Jennie, Hannah & Miles, Fiona Sawyer, Jamie +3, Peter +2, Margaret +3, Thorfin, Nicolette +3
  • maybe attending: Jason & Suzanne, Paul, Anita, Lief, Bridget, Georgie & Shiela
  • not attending: Cathy & Conrad, Iestyn, Michelle & Jamie, Adam & Narelle
  • several others unknown (Robin, Bertram...)
  • probably roughly same numbers as last year
  • price rise 5th Jan
  • pre-and post festival days on crossroads site - unknown what arrangements will be.  Gwynfor planning on being there on Tuesday to
    set up.
  • communal facilities:
    • fire/brazier - gwynfor to bring
    • no BBQ - no one planning on using it, waste of money, not hire
    • haybales $10 - not bought communally, each buy their own for tent space as required
  • consensus agreed Krae Glas to hire:
    • urn - not on hire form but probably available anyway ($105?)
    • spare gas bottle for urn $36
    • 1 trestle table for urn $17 hire
    • 3 chairs ($5 each) for visitors (campers expected to bring/hire own) total cost $173, Margaret to put in hire form with her booking before 5th January.
  • cost of communal facilities, $173 between 20 confirmed people  = $9 per person, say $10 per person and excess gets extra items for
campsite or could Krae Glas pay (eg from Twilight tourney profit). General consensus - $10 per person.  In unlikely case of money short - extra from shire funds or if over, offer $x payback on request or contribute to kingdom levy
  • who is camping on which terrace - probably discuss more later, expect similar to last years arrangement which generally worked well.
  • communal kitchen area again? Gwynfor to ask Adam about cover (it will have to be washed before festival!) or we have 2-3 commercial sunshades which can be used for this.
  • hiring costs same until 15th March cutoff.  If we need to hire extra tables (probably do if any more people  using communal area) we can add to order later, or people can supply own.

meeting closed 10:55pm
